Location: Kansas City, Ks
Job Type: Full Time, Hourly, Non-Exempt
Department: Parts
Schedule: 7:30am-4:30pm (Monday through Friday)
Shift: Day Shift
Supervisor: Parts Manager
Pay Range: $18.00-23:00 per hour

Job Overview:
The Shipping & Receiving Coordinator is responsible for overseeing the efficient handling of incoming and outgoing shipments for the dealership’s parts department. This includes receiving, inspecting, and storing incoming parts, as well as preparing and shipping orders for customers, technicians, and other locations. The ideal candidate will ensure inventory accuracy and maintain a well-organized workspace to support the dealership's operations. This position will include driving responsibilities and will serve as a backup parts driver as needed.

Key Responsibilities
Receiving Duties:
  • Receive and inspect incoming parts shipments for accuracy, damage, or discrepancies.
  • Verify part numbers, quantities, and vendor documentation against purchase orders.
  • Organize and stock incoming parts in their designated locations in the warehouse.
Shipping Duties:
  • Prepare and package parts orders for shipment to customers or other locations.
  • Verify that outgoing shipments match order specifications, including part numbers, quantities, and shipping addresses.
  • Create and attach accurate shipping labels and documentation for each order.
  • Coordinate with delivery drivers or shipping carriers to ensure timely dispatch of orders.
Inventory Management:
  • Monitor stock levels and report low or overstocked items to the parts manager.
  • Assist with inventory counts, cycle counting, and maintaining accurate inventory records.
  • Ensure returned items are properly documented, labeled, and stored.
Organization and Maintenance:
  • Maintain a clean, safe, and organized shipping and receiving area.
  • Safeguard parts against damage by using proper storage methods and packing materials.
  • Ensure proper handling and storage of hazardous materials according to safety regulations.
Customer and Team Interaction:
  • Collaborate with parts counter staff, technicians, and other departments to fulfill parts requests promptly.
  • Assist customers with parts pick-up and provide accurate information regarding shipments.
  • Communicate effectively with vendors and carriers regarding shipping schedules and issues.
Administrative Duties:
  • Maintain detailed records of shipments & receipts.
  • Generate shipping labels, invoices, and other required paperwork using dealership systems.
Safety and Compliance:
  • Adhere to all dealership and industry safety standards, including the proper handling of heavy parts and hazardous materials.
  • Operate forklifts, pallet jacks, and other warehouse equipment safely and in compliance with training guidelines.
  • Ensure compliance with shipping regulations and vendor policies.

Qualifications:
  • High school diploma or equivalent; additional training in warehouse or inventory management is a plus.
  • Previous experience in shipping, receiving, or warehouse operations, preferably in the automotive or heavy-duty trucking industry.
  • Proficiency with inventory management software and basic computer applications.
  • Strong organizational and time-management skills.
  • Ability to lift and move heavy parts (up to 50 lbs.) and operate warehouse equipment.
  • Excellent attention to detail and problem-solving skills.
  • Forklift certification required.

Working Conditions:
  • Work is performed primarily in a warehouse or outdoor setting.
  • Requires physical activity, including standing, bending, lifting, and moving parts throughout the day.
  • May involve exposure to various weather conditions when handling shipments.
